An inventory report is a practical record of what was supplied and in what condition. Complete it early in the stay using the operator’s process. The goal is an agreed starting point, not a collection of photographs no one receives.
Work from the supplied list
Check each room against the inventory. Record missing items, a different item from the one listed and visible condition issues. Include ordinary identifiers such as the room and item description so the provider can find the problem without guessing.
For functional items, check only what you can safely test under the instructions. Report a fault rather than attempting an unauthorized repair. A stain, unstable item or missing part should be described separately from normal wear so the follow-up is specific.
Take useful photographs
Capture the room context and a closer view of the issue. Avoid photographing identity documents, personal possessions or other occupants without consent. Keep the original files and the date, while submitting copies through the provider’s approved channel.

Close the loop
Ask the provider to acknowledge the report and confirm any correction. If an item is replaced, update the inventory rather than leaving the original list unchanged. Keep the written response with your arrival records.
Before departure, review the starting report and the return procedure. Ask about any required cleaning or furniture positioning through the actual agreement. Do not assume an inventory photograph settles every contractual question.
For operators, a clear inventory saves time in maintenance, replacement and handoff. For guests, it creates a useful record when a supplied setup does not match the quote. Both benefit when the record reaches the right contact and the agreed changes are documented.
