Get the requirements from the property
Ask the responsible management contact which documents are needed, who reviews them and when approval must be obtained. Request any stated wording or identification requirements directly through the building’s process.
Distinguish the furniture seller, transport company and installation provider. They may be different organizations performing different work. Ask which providers must submit documentation for the approved scope.
Send the scope to the provider
Give the delivery or installation company the relevant requirements, property details and service description. Have the provider or its authorized insurance representative address the documentation. Do not assume that a certificate alone establishes every coverage requirement or that you can interpret the underlying policy.
If a question about coverage or contractual responsibility affects approval, involve the appropriate qualified parties. The project coordinator’s role is to connect the actual requirements with the actual provider, not invent a compliance assurance.
Track approval separately from submission
Record documents requested, received, reviewed and approved. Keep the responsible contact and deadline visible. A file being emailed to the building is not the same as access approval.
Avoid uploading private policy documents to a public property profile or generic request board. Share them only through the appropriate project process.
Before the appointment, confirm that any required approval remains valid for the provider and scope being used. A replacement delivery company may need its own review rather than inheriting another provider’s status.
