Managing split furniture shipments with a completion ledger

Track ordered, received, installed and missing items by unit so partial shipments do not obscure which apartments are ready.

Furniture from several suppliers may arrive on different dates. A completion ledger helps the team distinguish delivered goods from complete rooms and prevents partial shipments from being reported as a finished apartment.

Use the room as the completion unit

List each required room function and the approved items supporting it. Add order and supplier references, expected dates and current status. A home may have a sofa while still lacking its bed components or dining chairs.

Record statuses such as ordered, dispatched, received, installed and unresolved. Define them consistently across the team. A transport tracking update should not automatically become an installed status.

Keep supplier dependencies visible

If an item needs components from more than one order, link them. Identify the work that can proceed safely and the work that must wait. Do not ask an installer to finish a product with unapproved substitutes because another carton is late.

Update the handoff date honestly

Compare the unresolved essentials with the intended occupancy or turnover date. If a required item is missing, decide whether an approved alternative is feasible or the handoff must change. Do not count a temporary workaround as an approved final setup without review.

Ask each supplier about current timing and preserve its response. Keep estimate, target and confirmed appointment as different kinds of dates.

At completion, reconcile quantities and move the actual product information into the asset register. Retain the exceptions and decisions for later review.

The ledger can be a simple spreadsheet. Its value comes from accurate status updates and named responsibility, not complexity. It gives everyone the same answer to the question: which homes are usable, and what still prevents the others from being ready?
