Keys, locks and access at turnover: control the handoff record

Turnover changes who needs access to a home. The record should show the approved process, responsible contacts and return status without exposing keys, codes or credentials to everyone reading the project plan.

Separate the schedule from the credentials

The general work schedule can identify unit references, authorized appointments and contacts. Sensitive entry information belongs in the property’s controlled access process. Do not put it in a public listing, procurement brief or shared request board.

Ask the operator how contractors, delivery teams and occupants obtain authorized access. A coordinator should not invent a workaround when the normal process has not been completed.

Track physical and digital arrangements

Record keys, fobs and other items issued or returned through the actual operating procedure. For electronic systems, use the responsible team’s authorized process for changes. Do not assume that a departure automatically removes every access entitlement or that every lock follows the same procedure.

If a key or device is missing, report it to the authorized person. Qualified providers should assess any work required on locks or related equipment.

Make the final handoff specific

Identify who gives the occupant the approved instructions, what information is included and how an arrival problem is handled. Keep the current version distinct from earlier instructions circulated during work.

Before declaring readiness, reconcile the work-stage access and intended occupant arrangement. After departure, follow the actual closeout procedure.

The goal is an accountable handoff, not a complicated document containing every secret in one place. A small, controlled record can support coordination while reducing the chance that outdated or private entry information is treated as ordinary public project data.
