Build an apartment shortlist with five pass-or-fail questions

Reduce an unwieldy apartment search to a small set of candidates using essential requirements and clearly marked unknowns.

A shortlist works best when it removes unsuitable options before you spend time comparing finishes. Choose five requirements that would make a home unusable if unmet. Keep preferences such as a particular view separate from those essential conditions.

Set the five gates

Common gates are location, budget, dates, lease length and space requirements. A furnished preference, a specific access need or an approved animal arrangement may be essential for your circumstances. Define each gate precisely enough to ask an operator a clear question.

For example, “near work” is difficult to verify. “A route I can manage on the days and hours I work” gives you something to test. Likewise, “within budget” should refer to the confirmed ordinary housing payment, not just an advertised base rent.

Use three states

Mark each requirement as confirmed, conflicting or unknown. Unknown is not a pass. It simply means a candidate needs another answer before it can be fairly compared. A directory record with no lease information should not disappear automatically, but it should not be presented as a confirmed short-stay option either.

Stop the list from growing endlessly

Aim for a small research list you can actually contact and track. When a new candidate appears, ask which existing option it improves upon. Save the source URL, unit identifier if available, contact date and next unanswered question.

Once the essentials are confirmed, compare everyday comfort, storage, furniture and service arrangements. This order prevents attractive photography from hiding a lease or budget conflict. If your needs change, update the gates and rerun the shortlist rather than trying to remember why an old option was rejected.
