A confirmed product dispatch is not a confirmed building access appointment. Coordinate both before the truck leaves, particularly when loading or elevator time must be reserved.
Ask the property for the approved process
Confirm the entrance, loading location, permitted hours and reservation steps. Ask whether protection, insurance documentation or other arrangements are required. Public curb use and interior building access may involve different authorities; do not assume one permission covers both.
Identify who approves the reservation and which contact will be available on the day. An occupant may not have authority to promise an elevator slot or let a delivery team use a restricted entrance.
Give the team enough time
Ask the delivery provider about the expected work and crew arrangement for the approved scope. Include unpacking, assembly and packaging removal if those tasks are part of the appointment. Do not reserve a short window against a larger scope without assessment.
If several suppliers are involved, coordinate their arrivals rather than giving each the same limited slot. Keep a sequence and contact list that explains who is expected when.
Create a dispatch gate
Before release, check four items: goods ready, building access confirmed, receiving contact assigned and service scope understood. If one is unresolved, decide explicitly whether dispatch should proceed under the actual terms.
Keep the written confirmation with the purchase record and distribute the current version to the relevant parties. Avoid sending private access credentials in a public delivery note.
If an appointment changes, reconfirm both supplier and building arrangements. A new transport date does not automatically carry the old reservation forward.
After completion, record any access problem and how it was resolved. That information can improve the next delivery without becoming a claim that every similar building has the same rules. The useful plan is specific to the property, products, date and approved route.
