An accommodation invoice is easier to process when it matches an approved housing record. Set that record up before booking. The coordinator, provider and finance team should use the same unit and period references.
Agree on the required fields
Ask finance what the invoice must contain and tell the provider before a reservation is made. Useful fields include the contracting company, purchase reference, accommodation identifier, service dates and the named billing contact. Keep employee information to what is actually required.
Request separate lines for the accommodation charge, confirmed services and other charges rather than a single unexplained total. Ask how usage-based items and final adjustments will be documented.
Reconcile against the booking record

If the employee moved between homes, ensure the dates do not overlap incorrectly. If an extension was approved, attach the approval and revised terms. A conversation about a possible extension should not be treated as spending authorization.
Give discrepancies one owner
Identify who asks the provider to explain a difference and who decides whether the charge can be approved. Avoid parallel conversations in which an occupant, coordinator and finance team receive inconsistent answers.
Keep the invoice question specific: identify the line, the agreed reference and the explanation needed. Do not withhold useful records while asking a provider to guess what changed.
For a multi-unit programme, use one accommodation ledger with a separate row for each period and home. This is an administrative control, not accounting or tax advice. Your finance team determines its requirements. The housing coordinator’s job is to supply a clear record of what was requested, approved, delivered and changed.
