Before a bulk sofa order, build a unit-layout matrix

Group units by measured layout and access conditions before ordering the same sofa across an apartment portfolio.

A bulk sofa order can be efficient only if the selected product fits the homes receiving it. Count by layout and access condition before multiplying one sofa choice across the entire portfolio.

Group the actual units

Record each unit reference, living-room dimensions, intended sofa position and relevant delivery constraints. Group genuinely similar layouts, then list exceptions. A common bedroom count does not establish identical living-room dimensions or entrance routes.

Identify occupied units separately from vacant ones. Delivery access, permissions and scheduling may differ. Keep resident details outside the purchasing matrix.

Validate a representative setup

Check the proposed sofa’s packaged and assembled dimensions in a representative layout. Confirm its footprint with adjacent furniture and door swings. Then review exceptions rather than assuming the first successful fit proves the entire order.

Quote the exceptions explicitly

Ask suppliers for the main quantity and any alternative models separately. Identify acceptable substitutions and who may approve them. A quote for one model should not silently become a mixed delivery if stock changes.

Include removal of old furniture, assembly, packaging disposal and any scheduled delivery phases as defined service items. Request current availability and timing; a bulk inquiry is not a stock reservation.

After approval, preserve the final matrix as part of the asset register. Record the model actually delivered to each unit. That supports later replacement and helps avoid another round of identification work.

The useful bulk decision is a documented fit across the planned units. A large order quantity alone does not justify skipping measurement or claiming a discount before the supplier has confirmed the actual commercial terms.
